2022 AgriLife Extension Service State Conference

August 16-18, 2022

Brazos County Expo, Bryan

The goal of the conference will be for renewal, professional development and engagement for the future of AgriLife Extension.

Conference Agenda

For all AgriLife Extension Service employees traveling in from out of town, please note the conference will be held at the Brazos County Expo Complex in Bryan, Texas. Parking on-site is free and plentiful.

Registration will begin at 11:00am on Tuesday, August 16. Lunch will not be provided on Tuesday, so please make meal and travel arrangements accordingly. A full dinner will be provided on Tuesday night as part of the evening social events. Lunch will also be provided on Wednesday. The conference will conclude promptly by noon on Thursday, August 18.

Travel information

Travel will be reimbursed for this event, but we are using STATE dollars so the following travel rules must be followed to receive reimbursement. A travel authorization memorandum will be sent to attendees as soon as registration is complete. You will need to attach the travel authorization to your expense report in Concur.

Vehicles to be used

County or AgriLife Extension vehicles or rental vehicles (call or email Rosie at 979-314-8202 or rosemary.schoenfeld@ag.tamu.edu if you need a direct bill account for this trip only). If these two options are not available, please contact Rosie to get information on the vehicle log that must be completed to use a personal vehicle. If you use a rental car, the invoice will come directly to the director’s office for payment processing.

Hotels

The state hotel room rate for Bryan/College Station is $96.00 per night. Please ensure you get a state rate room at $96.00. If the double room is over $96.00, the shared room by two people must be less than $96.00 per person. You will not be reimbursed for amounts over $96.00 per night. You are responsible for paying for the hotel and if using a personal credit card, will be reimbursed when you file your travel expense report in Concur. Please present the hotel tax exempt form (found below in Helpful Documents) so that state hotel tax is not charged. You will not be reimbursed for state hotel tax if charged for your hotel room. Please check your receipt before leaving the hotel. You must have a hotel receipt showing a ZERO BALANCE DUE to attach to your expense report in Concur.

UPDATE: Unfortunately, the original four hotels where room blocks are secured have been sold out.

Below are eight area hotels with rooms that are still offering state rate rooms or rooms lower than $96. You will need to contact the hotel for a reservation and be sure to ask for the state government rate.

Per diem

The agency will provide dinner on August 16 and lunch on August 17, so per diem can be claimed for the meals not provided by the agency during your travel. The standard rate for a full day in Bryan/College Station is $59.00. For August 16 and 18, the first and last date rate is $44.25. You cannot exceed these amounts for reimbursement and should include actual meal expenses only.

Parking

If you incur parking fees, please provide a parking receipt with your reimbursement. We are using the Brazos County Expo, so there will not be parking fees at that location. If you must park at the airport, please pay for that parking with a personal credit card and not an agency paid travel card.

Airfare

Airfare should be booked through Concur to ensure a state contract rate using your personal credit card or an agency paid state travel card if you have one. Please keep a copy of the airfare receipt, as it must be attached to your expense report in Concur.

Baggage Claim Fees – A receipt will be needed for baggage charges and will be attached to the expense report in Concur.
